Art Museum Cataloging
Background
The University of Akron and the Akron Art Museum were involved in a grant project to provide cataloging of the collection and in return the bibliographic records are available in the online system ZipLINK and Akron students may go to the Museum and use the collection.
Currently, the grant project has ended, but new Art Museum material is still being added to the collection.
Procedures
- Refer to the slip of paper inserted in the book and note whether there is an OCLC # written on it. Blue slips designate material from the grant project and white slips designate new material.
- Use that OCLC #to retrieve a record in OCLC (use the Museum's authorization). Type an asterix (*), the number and F11.
- If there is a call number on the OCLC record in the 090 or 050 field, you can prepare to download the record. If there is no call number in the record, set the book aside for a cataloger.
- Refer to the 049 table below and insert the appropriate code for the book. Pay special attention to whether it is Oversize or not (35 cm. or larger). If it is a general non-circulating book, you will not need to edit the 049 field.
- Insert a 949 field in the record (hold down the CTRL and F1 keys).
- Insert a 793 0 Akron Art Museum collection.
- Go the the Home position, type "u;xpo" and press F11.
- Write the call number in the book in the upper right-hand corner on the page after the title page.

- When a cart is done, send to Cataloging for linking.
Dealing with Duplicates -- Check Millennium:
- If there is an item for Bierce, make the new copy for the Art Museum
- Update the record in OCLC for the Art Museum
- If there already is an item located at the Art Museum, set it aside to give to Lori Fielding, Reference Librarian. She will make the decision on whether or not the material will be added to Bierce's collection.
- If the book is to be added, update the OCLC record in OCLC for Bierce.
- If there already is a copy for the Art Museum and Bierce, set the material aside for Lori and she will decide whether to add it.
Special Considerations
- Pay attention to whether the book is 35 cm. or larger. If it is, the 049 will be coded for the Oversize collection.
- If there are dust jackets, keep them with the book. The Art Museum wants them back.
