Cataloging E-journals
TIP
Make sure you are subscribed to the OhioLINK listserv, EJC-ANNOUNCE. You can find it from the Listproc page. Whenever new titles are added to the EJC, an announcement is sent out. Check the titles to see if we have the print version and add the corresponding URL. The cataloging for the rest of the titles will be sent out through DMS, so subscribe to the DMS listserv also.
Overview
- Review the documentation located on the OhioLINK Ostaff site for DMS. All of the standards are listed there about which fields should be included in electronic and print records.
- To ensure consistency and make life a bit easier, constant data records have been created with the the most common fields required in e-journal records. The constant data record can be "applied" to the OCLC record as needed. Check the Constant Data list for the specific constant data record you need.
- URLS for OCLC Union Listing are not done for e-journals, because the holdings of e-journals are so changeable.
- Electronic version notes such as 130, 506, 516, 538, 530, 776 and an 856 are inserted into electronic journal MARC records or the print records if that is the record we are using.
- Some of these notes are inserted onto a print serial record when the University of Akron holds both the electronic and print versions. Generally a 506, 516, 538, 530 and 856 are inserted onto the print MARC record for notes about the e-journal version.
- New electronic journals are announced on LIB-PERS.
Enhancing Print Records
Before even thinking about downloading a record from OCLC, check the catalog first to see if we have it in print.
If we do, certain fields will have to be added or changed on the record. The fields to add/change are:
- Line 3, location should be multi and should include arch,bierc,law,sci,wayne,ol (Use ol only if it's an OhioLINK journal)
- 506: Subscription and registration required for online access
- 530: Online version also available
- 538: Generally something like "System requirements for online version: Internet connectivity, World Wide Web browser, Adobe Acrobat reader"
- 730
- 793: OhioLINK electronic journal or an appropriate one from the textual call number list.
- 856: URL for OhioLINK journal always has the format, http://rave.ohiolink.edu/ejournals/issn/xxxxxxxx It is guaranteed to never change.

After adding this information, send a list of the titles for which you added electronic access to Carol Ficken in Acquisitions. She will add checkin records to them.
Records from OhioLINK (cataloged by Techpro)
These records are generally good to use as-is, but when you are downloading them, make sure you use the OhioLINK OCLC account (Oh1). They will pick up the tab for the exports.
You will receive emails from Ann Gilliland at OhioLINK. She will send a list of titles, the OCLC numbers and the save file number. If you download from save, make sure you take all of our local edits out of them before resaving. The rest of the OhioLINK community must use these also. The records are archived on the DMS ostaff page.
The fields to change are:
- Line 3 (location) arch,bierc,law,sci,wayne,ol
- Line 7 (suppress) "g" (this displays in OhioLINK as OhioLINK Resource)
- 099: Periodical
- 130: Make sure the record has a 130 field.
- 245: Make sure the GMD is [electronic resource]
- 793: OhioLINK electronic journal or an appropriate one from the textual call number list.

What to include in a bibliographic record

- We have the holdings for 1998-, so previous year's proceedings will need to have an 856 link also.
