Classification

  1. Check the list of valid OCLC 049 codes.
  2. MARC tag 050 is generally accepted as-is as long as the 040 tag contains the initials DLC
  3. When constructing a 090 classification number, check it first in INNOPAC to make sure that it falls into the right subject area. Use the Cutter table to construct the last part of the call number. The University of Akron always carries the number to the third digit. For example:

    NOTE: If the book is not DLC, but has multiple editions, search OCLC (and MILCAT) for previous editions. If another edition has a DLC call number, use the same number and change the date.

Fixed Fields

Fixed Field
ELvl (Encoding Level) -- If the Elvl is 8, K or M, you will need to check the record very carefully to make sure the record is complete. Check the 300 code especially.
Ills (Illustrations) -- The codes in this field should match what is present in the 300 tag, subfield b.
GPub (Government Publication) -- Is the record a government publication?
LitF (Literary Form) -- Make sure this is a 1 if the work is fiction.
Dates -- Make sure the date matches the material. Printing dates should be used.

Title/Statement of responsibility

Make sure the title (245 field) matches what is found on the title page. If it doesn't, search for another record or consult a librarian.

Variant title (246)

Make a variant title when the work is called by another name besides what is found on the title page. For example, the title may appear differently on the spine or the cover. Use this also if a book is you know that the book is referred to by a different name such as The Merck Manual.

Publication statement

Make sure it matches the piece in hand. Pay special attention the the date. Reprint dates are not used here as the date of a work.

Make sure this field is complete especially if you are dealing with a CIP record.

A note about accompanying software: If software is mentioned, but we don't have it, just include a local 590 note to indicate that "Bierce library lacks software."

Series statement

The trickiest part of cataloging monographs can be when there is a series. Always check both INNOPAC and the OCLC authority file to see if there is an authority record available. Download the authority record if no record is in INNOPAC. Check the local series authority records in INNOPAC for instructions about specialized classification schemes (class as series or class in appropriate subject area, etc.).

General Notes

Include notes if the work has something which you think should be noted such as when the work is signed by the author, if software accompanies the material, etc. If in doubt, ask a librarian.
